Job purpose


The Assistant Project Manager position performs administrative and management tasks to assist the project manager. They are responsible for managing and maintaining all the data required for the food resupply orders during the ~6-month period. Four orders will overlap at various points during the contract: Palmer-July order, McMurdo/South Pole vessel order, Science/Retail small pack and the Palmer-January order. Although the Food Services Team develops the order, the data goes through a series of changes and evaluation throughout the process: from order development to delivery. This includes validation with the current inventory system, mathematical conversions, calculating financial impacts, as well as coordinating and managing the data changes. Upholding positive communications with other team members as well as suppliers. Data is maintained in SharePoint, but based in EXCEL.



Duties and responsibilities


Manage data through all phases of the reordering process, to include:

  • Evaluate Supplier's data in regards to the resupply order, identify and resolve issues
  • Evaluate order data in regards to inventory database (Maximo), orchestrate resolutions
  • Monitor data throughout process and acquire missing data from Supplier
  • Convert order quantities and pricing from Supplier's unit of measure to Maximo's
  • Analyze all conversions and calculations to ensure accuracy
  • Manage the change order process, coordinating with all parties and documenting decisions
  • Determine and communicate financial impacts of changes
  • Coordinate the shelf life exceptions process, facilitate decisions, and document findings
  • Primary data POC during audit/packing process. Respond to and manage issues with item data
  • Elevate issues to Project Manager as needed
  • Communicate daily with auditors/suppliers on data changes and issues
  • Validate packing information and generate requisitions
  • Monitor and report on fill rate during packing and deliver
  • Compile cumulative packing information for later reporting
  • Conduct continuous reviews, recommend mitigations and corrective actions
  • Generate reports as requested
  • Compile lessons learned through out process
  • Research emerging issues
  • Assists Project manager with team meetings. Take meeting minutes and track action items
  • Coordinate and ensure smooth operation of the four orders from start to finish
  • Operate in a safe manner at all times.
  • Other duties as assigned





  • Bachelor's degree in business, finance, marketing, analytics preferred, and/or five (5) years of progressively responsible experience in project management, data analysis, management, finance
  • Must have strong administrative, leadership, interpersonal, and multi-tasking skills. As well as advanced skills in Excel and a familiarity with SharePoint.
  • Strong analytical, math, and organizational skills are also required. 
  • Maximo and USAP experience is highly desirable.
  • Experience in the food industry is not necessary.

Position Expectations


This is a full-time position and hours of work are Monday through Friday 8:00 a.m. to 5:00 p.m.  No travel is expected for this position.
